Detailed instructions for the creation of a CAR for activity (excavation, non-excavation and events) that impacts the road, footpath or berm

Worksites are comprised of a CAR and a TMP and are essential for managing activities in the road corridor, whether for excavation or non-excavation tasks.

The system provides tools to add necessary details, manage the approvals, and track progress.

Throughout myWorksites, tooltip icons provide additional information about each field. Fields marked with a red * are required to be completed before the CAR can be submitted.

Starting the CAR Creation Process

There are two ways to begin creating a Worksite:

  1. Hover over ‘Worksites’ in the navigation menu and select 'Create Worksites'.

  2. Select the ‘Create Worksite’ tile on the homepage


Step-by-Step Guide for Creating a Worksite

Step 1/6: Worksite Overview

Enter basic details such as the Worksite’s name, RCA, and the client organisation.

Notes:

  • Application type - There are two options - "Worksite" or "Global Permit". Most applications are a type of "Worksite".

  • Client -

    • For "private individuals" - search for your name;

      on registration, myWorksites automatically created a client and contact using your account/login details.

    • For "organisations" If your client is not listed, you can add them to the system with a New Zealand Business Number (NZBN), or manually entering the details if no NZBN exists

  • Project - This is a required field, so a project must be added even for one-off applications. Click [Add New] to enter the details.

Once all required fields are complete; Click 'Save and Continue' to move to the next step.

Step 2/6: Worksite Details

Provide the worksite address, reference number, and work window details.

Notes:

  • Type of Worksite: Select from Excavation, Non Excavation or Event.

  • Work Window: Select the from/to date range that the activity will take place over. The Actual work duration will calculated automatically, and can be changed.

    Start and End times can be approximate, or for non excavation works such as skip/container on the berm, may be entered as 00:00 - 23:30

Once all required fields are complete; Click 'Save and Continue' to move to the next step.

Step 3/6: Worksite Extent

Provide details of the area your worksite will affect, and check for other works in the vicinity that may create clash with your intended activity. You will need to resolve any clashes between your activity and other worksites before your CAR will be approved.

Notes:

A map will be displayed, centred on the address provided in the previous step.

Click on the map to draw the area of the worksite on the map.

Zoom in for smaller worksites if needed, and use the ‘Show worksites in vicinity’ option to identify potential conflicts with other worksites in the area.

Click 'Save and Continue'.

Step 4/6: Work Items

Define the type of work activities (e.g., trenching, scaffolding, landscaping) and their locations within the worksite. Add as many items as required.

Click 'Save and Continue'.

Step 5/6: Worksite Documentation

Upload any relevant documentation. A minimum of one document is required to submit the Worksite. Accepted file formats include .jpg, .pdf, .png, .xlsx, .docx, and more.

Click 'Save and Continue'.

Step 6/6: Worksite Contacts and Affected Parties

Add the Principal Client Organisation and Bill Payer contacts. You can also add as many affected parties as necessary.

Once done, you’re ready to proceed with the next steps in your application.


Linked Traffic Management Plans (TMPs)

Some RCAs require a TMP to be submitted alongside the Corridor Access Request. If a TMP is necessary, you must submit both the Worksite and TMP before the application can be processed.

To create a TMP linked to your Worksite, click 'Create TMP' on the Worksite View page. All TMPs linked to a Worksite, along with their statuses, are displayed in the Traffic Management Plans panel.


Submitting Your Worksite

Once you've provided all required information, and any necessary TMP has been submitted, click 'Submit Worksite'. If it's the first submission, estimated fees will be displayed. After accepting the terms and conditions, click 'Submit Worksite' again to complete the submission.

An acknowledgment email will be sent to you.


Revising Your Worksite

If changes are needed (e.g., extending the work window), you’ll need to create a revision:

  • Click 'Create revision' at the footer of the Worksite page to revise a Submitted or Accepted Worksite.


Processing of Your Worksite

Once submitted, your application will be visible to the chosen RCA. A Corridor Access Manager will be assigned to your application and will contact you if additional information is required. Their contact details will appear in the RCA Assignee field on the Worksite View page.

If your application is declined, a comment will generally be provided to explain the changes required before resubmission.

Once your Worksite is approved, an email will notify you, and you can view any conditions set by the RCA on the Worksite View page or in the Work Access Permit PDF.


Start Work / Work Completion Notifications

After your Worksite is approved, you can click 'Start work' on the Worksite View page to notify the RCA that work has begun. Once work is completed, click 'Complete work' to inform the RCA. If it's a CAR, the Worksite will enter a warranty period.


Non-Conformance / Stop Work Notices

RCAs can issue Non-Conformance or Stop Work Notices if conditions are not met. These will appear in the Notices panel and the History panel of the Worksite. Once the issue is resolved, contact the RCA for an inspection.


Cancelling Your Worksite

To cancel a Submitted or Accepted Worksite, leave a comment in the Comments, Images, and Files panel for the Corridor Access Manager to decline the application.
