Once you have registered and logged in to MyWorksites (and if you’re making applications on behalf of organisations, your permissions are approved by an administrator. See here for more details.), you will be able to create Worksites.


There are 2 ways to start the Worksite creation process


1. Hovering over the ‘Worksites’ item in the navigation menu, then 'Create Worksites'

2. Selecting ‘Create Worksite’ tile on the homepage



On the next few pages you will be required to fill in some general details around the worksite, such as the name, client organisation and Road Controlling Authority you will be submitting your applications to.


Tooltip iconsare available throughout MyWorksites would provide you with more information of that field.


Clicking on 'Save and Continue' brings you to the next step. 




Step 1/6: Worksite Ownership



Here you would be required to enter some basic ownership information about the Worksite, such as the Worksite's name, Road Controlling Authority (RCA) the application would be submitted to, and details of the Utility, Client organisation or Government Agency work is being done on behalf on.


If you're unable to find an organisation in the Client dropdown list, then you can opt to add a new organisation into the system.


If the organisation has a New Zealand Business Number (NZBN) then you should be able to find it by searching for the company name. Selecting a search result will automatically populate the company address.


If the organisation does not have an NZBN then you will need to select the 'Other organisation' option and enter the company's name and address manually.


Clicking 'Save' will return you to the worksite form. If you created a new company then you will also need to create a contact person and a project for that company - use the 'Add new' buttons next to the Contact and Project fields to do this.



Clicking on 'Save and Continue' brings you to the next step.




Step 2/6: Worksite Details



On this page, you will be required to enter the address where work would be done in, a reference code/number for the worksite, and some details about the work window. Selecting 'Excavation' as the 'Type of Worksite' would submit the Worksite as a Corridor Access Request (CAR), and 'Non-Excavation' or 'Event' would submit it as a Non-Excavation Corridor Access Request (NECAR). Step 3/6: Worksite Extent



Now you'll need to mark out the physical worksite on a map with the drawing tools provided. You might have to zoom in further on the map for smaller worksites. More information regarding the drawing tools are available on the sidebar.


The Traffic Management Level is automatically selected as you draw the worksite on the map. If applicable for your application, please also enter the Road Type and Route/Road Position of the worksite. 

To switch the background map type, you can click on the tab  on the top left corner of your screen. You'll also be able view potential clashes with your worksite by selecting 'Show worksites in vicinity' from the slide out panel. Potential clashes refers to accepted worksites that have an overlap of 2 weeks before and after the work window you've indicated.



Step 4/6: Work Items



Next up, Work Items. Every block on this page represents a type of work activity that would occur on the worksite, as well as where it would take place. For example open trenching on the carriageway, blasting on the footpath, landscaping on the berm, scaffolding on the ramp or a parade on the carriageway. You can add as many of these blocks as required.



Step 5/6: Worksite Documentation


Any additional relevant documentation and attachments can be added to the Worksite Documentation page. You can add as many as these blocks as required, but you'll need at least one to be able to submit the Worksite. Allowed file formats for uploads are

  • .jpg
  • .jpeg
  • .pdf
  • .png
  • .xlsx
  • .xls
  • .doc
  • .docx

Step 6/6: Worksite Contacts and Affected Parties


This page allows you to add contacts and affected parties to a Worksite. The Principal Client Organisation is defaulted to the Client you've selected on Step 1. You are also required to add a Bill Payer contact, but you can add as many affected parties as required.


Please note that notification emails are only sent to the applicant at the moment, and replies to these emails do not get forwarded.


Linked TMPs


Some Road Controlling Authorities requires a Traffic Management Plan (TMP) submitted alongside a Corridor Access Request. If a TMP is required for your Worksite, you will not be able to submit it until a TMP has been submitted, and clicking on the link in the footer would inform you of the requirement.



To create a Traffic Management Plan linked to your worksite, you can click on the 'Create TMP' link on the Worksite View page itself, then follow the instructions here.

All TMPs linked to this worksite, as well as their status would be displayed in this 'Traffic Management Plans' panel.



Estimated Fees


You can also view an estimate of the fees that might be incurred on your Worksite by clicking the 'Estimate Fees' button on the Worksite view page. This fees will be displayed again when you submit the Worksite.


Permissions


At the moment, draft worksites can only be edited by users from the applicant organisation. A draft can be published, which allows users from other organisations and Road Controlling Authorities (RCAs) to view the draft as well. Submitted and accepted worksites are viewable by all other users on MyWorksites.



Publishing a draft Worksite


To publish a draft Worksite, you can click on the 'Publish' button in the footer. Please note that this will allow users from other organisations and Road Controlling Authorities to view the draft as well. You can also unpublish a Worksite by clicking the 'Unpublish' button on a published Worksite. You will be able to identify Published Drafts by the label on the Worksite View Page.


Deleting a draft Worksite


To delete a draft Worksite, you can click on the 'Delete' link in the footer. Deletion of a revision of an submitted or accepted Worksite would only delete the revision, and not the submitted or accepted version. Do note that only draft Worksites with draft or no Traffic Management Plans (TMPs) linked to them can be deleted, and any linked draft TMPs would be deleted as well.




Submitting your draft Worksite


Once you're satisfied that you've provided all required and relevant information, and submitted a Traffic Management Plan (if required), you can click on the 'Submit Worksite' button.


If it's the first time a draft Worksite is submitted, the estimated fees would be displayed. If you accept the terms and conditions by selecting the checkbox, you can click on 'Submit Worksite' again to submit the Worksite for a Corridor Access Request or Non-excavation Corridor Access Request.


An acknowledgment email would then be sent to you.



Revising your Worksite


If changes need to made to a Submitted or Accepted Worksite, for example an extension in Work Window, a revision will need to be made. To do that, you will need to click on the 'Create revision' button in the footer.


Processing of your Worksite


Once your worksite has been submitted, it will be viewable to the Road Controlling Authority you've chosen to submit to. A Corridor Access Manager would be assigned to your application, and will get in touch if they require any further information. Their contact details would be shown in the RCA Assignee field in the Worksite Details panel. For any enquiries regarding your application, you will need to contact the Corridor Access Manager directly.

If your Worksite application's declined, a comment would generally be added to let you know what changes you'll have to make before resubmitting. A revision will need to be created before changes are made.


When your Worksite gets approved, an email would be sent to you notifying you of this. You'll be able to view any Acceptance Conditions the Road Controlling Authority added to your application on the Worksite View page, or in the Work Access Permit PDF. To download the Work Access Permit PDF, you can click on the 'More actions' button in the footer, then 'Download PDF'. A link to the PDF is also included in the email notifying you of the approval.


Again, if any changes are required to be made to the application, e.g. extension of dates, a revision would be required and resubmitted.


Cancellation of your Worksite


To cancel a submitted or accepted Worksite, you will have to leave a comment in the 'Comments, Images and Files' panel for the Corridor Access Manager assigned to your application to inform them of it. The Corridor Access Manager would then decline the application.


Any comments or files added would be displayed in the History section, alongside any events that's occurred on the application.



Start Work / Work Completion Notification


Once your Worksite is approved, a 'Start work' button can be seen on the Worksite View.

Clicking on this button allows you to notify that work has been started. Once you've notified that work had started, it cannot be reversed, so you should only notify work starting only after work's actually started at the Worksite. As such, a future date cannot be selected for the work start date.


Once notified of work starting, the button would be updated to display 'Complete work' instead. This allows you to notify that work's completed on the Worksite. The Road Controlling Authority will have to approve this, and an audit can be scheduled. If the application is for a NECAR, the Worksite would now be closed, but if it's for a CAR, the Worksite would go into the Warranty Period (defaulted to 2 years).



Non-conformance / Stop work Notices


If an audit from the Road Controlling Authority identifies any non-conformance or breach of conditions, they can issue either a Non-conformance notice or Stop Work notice against the Worksite. These notices would been shown in the Notices panel on the Worksite, and in the History panel as well.


Once you're satisfied that the issue has been fixed, you can contact the Road Controlling Authority for an inspection. The notice can then be marked as resolved if they are satisfied the conditions have been met.
